What is kept, why, and for how long

What is kept, and why

To send you a parcel we need your name, address, email and what you ordered. To be allowed to sell you anything at all we have to raise an invoice, and the tax office requires that invoice to be kept for seven years. Those two reasons cover nearly everything held about you.

If you make an account

An account holds the same details plus a password, which is stored scrambled and cannot be read back. Close the account and it goes, apart from the invoices we are obliged to keep.

The newsletter

Only if you ask for it: by ticking the box at checkout or on your account, or with the form at the bottom of the shop, which sends a link to confirm first. We keep your address, your first name if we have it, and when and how you asked, because we have to be able to show that you did. Every mail carries a way to stop that works with one press, and the address is used for nothing else.

To know whether the mail is worth sending, each one counts whether it was opened (with a picture the size of a dot, fetched when the mail shows its pictures), which links in it were pressed, and whether an order came from the same address in the week after. That is kept with the mail and seen only by the shop. Mail programs that block pictures send nothing back, and whoever sends the shop mail can switch the counting of opens off. An address that comes back as not existing is never written to again.

If you came on the list from a list of ours elsewhere (the old shop, Bandcamp, a sign-up sheet at a night), you were brought over only if that list says you asked for our mail, and the record says where.

A mail from one of us

When somebody at the shop writes to you (an answer to a question, a word about your order), that mail can count whether it was opened in the same way, with a dot fetched when its pictures show. It tells the person who wrote it when it was first opened and in what kind of mail program, and nothing more; it is kept with that mail and seen only by the shop.

Payment

We never see your card number or your bank login. The payment happens on the payment provider's own page, and they tell us only whether it worked.

Who else sees it

The carrier gets your name and address, and a telephone number if you gave one, because otherwise the parcel cannot be delivered. The bookkeeper sees the invoices. The payment provider sees what it needs to take the payment. Nobody else. Nothing about you is sold, rented or handed to an advertiser.

Counting visits

The shop counts which pages are looked at and roughly where visits come from, so it knows what people want to see. No cookie is used for it and nothing is stored in your browser. The address your visit comes from is used once, to look up the town, and then thrown away. A visitor is counted once a day by a key that is destroyed at midnight, so you cannot be recognised from one day to the next. Only the counts are kept.

Where it is kept

On servers inside the European Union.

How long

Orders and invoices for seven years, because the tax office says so. An account for as long as you want one. Newsletter consent until you withdraw it, and the record of it after that, so it can be shown when you asked and when you stopped.

What you can ask for

A copy of everything held about you, a correction of anything wrong, or deletion of whatever we are not obliged to keep. With an account, the copy is on your account page, ready to download. Write to the shop for anything else and you get an answer within one month. If the answer does not satisfy you, you can complain to the Autoriteit Persoonsgegevens, the Dutch data protection authority.

Cookies

The cookies page says what is stored in your browser and how to change your answer.
